To initiate project discussions, please email apps-contracts@utlists.utexas.edu with general project contact information.

Initial Contact and Project Identification

Initial contact will be made via email to determine preliminary skills sets and project scope. This information will be used to better understand Business Partner needs and to determine the correct participants in an initial meeting. At that point, an initial meeting will be scheduled to discuss the project.

Bid and Approval

After the initial meeting and discussion, a Bid Estimate identifying the project requirements, deliverables and estimated expenses will be drafted for client review. Based on the size and complexity of the project, the project may be divided into two phases - Discovery and Build. Whether or not the project will be divided into two phases will be documented in the bid. Once the approach and bid contents are approved, an account number will be supplied by the Business Partner. This account number will be used to process an IDT at the conclusion of each phase.

Project Development

Based on the type of project, a communication process for the duration of the project will be defined. Regular checkpoints and feedback sessions will be scheduled. Business Partner involvement to review, test and validate the results is required to insure expectations are met.

Billing

Billing is done via IDT.

Signoff

Sign-off will be completed at the end of the project and is usually done via email.
